FACILITY: All sessions are held in Qatar Foundation facilities designed by the Ability Friendly Program (“AF”). The participant’s family members are not permitted to use the facilities, unless expressly authorized by AF. Parents and guardians must comply with all applicable facility rules and staff instructions.
COST: Fees should be paid in advance by card to the AF or online. Registration is confirmed upon receipt of full payment and written confirmation from AF. Fees will be prorated if the participant is joining during the term.
REFUNDS: Payment has been made and the participant’s time slot has been confirmed, fees are non-refundable, except where AF cancels a session and is unable to provide a replacement session or credit, or where otherwise required by applicable law.
LESSON STRUCTURE: Each session has a dedicated time slot that will start and end on time with the assigned coach.
UNIFORM: All participants should wear the Ability Friendly-issued uniform during their sessions, subject to any reasonable adjustment approved by AF.
BEFORE: Please arrive 15 minutes early so that the participant is ready for the session. The parent or designated guardian remains responsible for supervising the participant until the participant is formally handed over to the coach at the start of the session. The Participant is not permitted to enter or participate in the session before the scheduled start time or without the coach’s supervision.
DURING: It’s very important that the coach builds and maintains a relationship with the Participant. To support the participant effectively, the coach may ask you for additional information or communication tips. If the Participant is upset or distracted by you being near them, the coach may ask you to sit out of sight to allow them to focus best on their lesson. Any such arrangement will be subject to the participant’s needs and safety.
AFTER: The coach will hand over the Participant to you or a guardian authorized in advance by you. AF may request identification before releasing the participant. The parent or designated guardian must collect the participant promptly at the end of the session and assumes responsibility for the participant upon handover. The participant must not remain in the facility after the session unless expressly authorized by AF.
LATE ARRIVALS: If the Participant arrives late, your session will not be extended, and no refund or make-up session will be provided for the missed time.
ATTENDANCE: Attendance will be recorded and monitored. The parent or guardian should notify AF in advance of any expected absence, where reasonably possible.
If the participant is absent for medical reasons, an official medical certificate must be provided for the absence to be recorded as medically excused. A medically excused absence does not automatically entitle the participant to a refund or make-up session.
If the participant will be absent due to travel, supporting travel documentation must be provided for the absence to be recorded as excused. An excused absence does not automatically entitle the participant to a refund or make-up session.
MAKE-UP SESSIONS: No make-up sessions will be provided where a participant misses a session or arrives late, regardless of whether the absence is recorded as excused. If due to unforeseen circumstances Qatar Foundation cancels a session, AF will, where reasonably possible, offer a replacement session or apply a credit for the cancelled session. If neither option can reasonably be provided, the fee paid for the cancelled session will be refunded. If classes cannot continue indoors or outdoors, the Participant’s remaining sessions will be suspended and carried forward for a reasonable period until the program resumes. If AF determines that the program cannot resume within a reasonable period, the unused portion of the fees will be credited or refunded.
MEDICAL AND SUPPORT INFORMATION: The parent or legal guardian must provide AF with complete and accurate information regarding the participant’s medical conditions, allergies, medications, disabilities, communication requirements and any other information reasonably required for the participant’s safe participation. AF must be informed promptly of any change. AF may suspend participation where it reasonably considers that participation may create a risk to the participant or others until appropriate arrangements are agreed.
